Columbus Day Explorer Cup ONLINE CHECK-IN Procedures

*Please read the following in its entirety as it contains important information that must be completed*

To complete the online check-in please follow these instructions:

  1. Go to your GotSoccer team page
  2. Click on the event located under "Event Registration History"
  3. Click on the "Documents" tab on the far right
  4. Load Documents

The following documents must be uploaded into your team's GotSoccer account no later than Friday, October 1st. Any changes made after the October 1st deadline may disqualify you from Online Check-In unless communicated to the Soccer office.

  • Tournament Waiver - Each participant and staff MUST complete the online waiver.  Waiver does NOT need to be uploaded to GotSoccer.
  • Approved/Certified Roster from your State/National Association (EPYS has new photos included with roster)
  • Player Passes (Not Necessary if uploading the new EPYS roster with photos or US Club roster)
  • Permission to Travel - Not required for Eastern Region (formerly Region 1) (except for CT) and US Club teams
  • Guest Player Forms (If applicable) - No longer needed for EPYS
  • US Club Loan Form

** All uploaded files should be in PDF format. Documents uploaded in JPEG format will not be accepted. No photos of documents will be accepted.

** Documents should be uploaded as 1 file per category rather than individually scanned and uploaded.

Example:

            Category 1:  Approved Roster (with Photos if available)

            Category 2:  Player Passes (Only if the player pictures aren't printed on the roster)

            Category 3:  Guest Player Pass and / or Forms (if applicable form)

            Category 4:  Permission to Travel (if applicable) 

* Category 1 & 2 can be combined when uploaded as rosters for US Club and many state organizations now include player's pictures on the roster.      

In addition to the above documents, the team's coach must bring the following with them to each game for verification. 

We don't need to see Medical Release Forms at registration. 

Guest Player Information

Your sanctioning board is the first contact you should make if you have questions about guest players and the forms they will need. As long as you are in good standing with them you are in good standing with our event. Continue reading for basic guest player information.

ON-LINE ROSTER REMINDER: Per tournament Rules it is mandatory that all teams must enter their rosters complete with bench personnel into the tournaments on-line scheduling system, GotSoccer. The minimum required information is Name, Date of Birth, player ID number, Uniform number and gender.

TO ADD GUEST/CLUB PASS PLAYER: There are three ways (3) ways to add GUEST PLAYERS.

Teams whose State Association uses GotSoccer (Legacy) registration system to register its players:

PLAYERS FROM THE SAME CLUB

  • Go to your GotSoccer team page
  • Click on Frozen under the Roster heading directly to right of the event. Even though it says "Frozen" changes can still be made
  • Click on either the Add Guest Player or Add Club Pass Player buttons
  • Input ID# or complete name and make sure the age is correct for the player
  • Click the add button
  • Scroll down to the 2nd roster and hit the add button again. The player should then appear on the event roster

PLAYERS FROM A DIFFERENT CLUB:

Have the Guest Player register into the tournaments Guest Player Pool using this link: https://www.gotsport.com/asp/players/login.asp?EventID=84593

  • Go to your GotSoccer team page
  • Click on the event name
  • Click on the Guest Tab
  • Click on the players name
  • Use drop down box and then update
  • Go to event roster scroll down to the 2nd roster and hit the add button. The player should then appear on the event roster

Teams whose State Association DOES NOT use GotSoccer registration system to register its players: IF NOT SURE.  DO NOT USE THIS METHOD. USE THE GUEST PLAYER POOL TO BE SAFE

  • Go to your GotSoccer team page
  • Click on Frozen under the Roster heading directly to right of the event. Even though it says "Frozen" changes can still be made
  • Use drop down next to "View by Event" click on "Primary Player List"
  • Click on Register New Player
  • Input player data and hit save
  • Go back to event roster
  • Scroll down to the 2nd roster and hit the add button again. The player should then appear on the event roster

Guest Player Release Forms are required for all players not shown on your Approved/Certified Roster from your State/National Association.

Important Reminder: EPYS / USYS does not allow EPYS / USYS registered players to guest play for a team that is not affiliated with US Youth Soccer. All guest players on EPYS / USYS  registered teams must be affiliated with EPYS / USYS or a state association of US Youth Soccer. Example:

  • A  US Club/AYSO passes cannot be used on a EPYS / USYS team and EPYS / USYS passes cannot be used on a US Club/AYSO team.

TO RELEASE PLAYERS FROM THE EVENT ROSTER:

  • Go to your GotSoccer team page
  • Click on Frozen under the Roster heading directly to right of the event. Even though it says "Frozen" changes can still be made.
  • To release a player from the event just click the "RELEASE" button to the right of his name. This will remove from event but leave on official roster.

Roster Freeze: Even though the roster says Frozen you can continue to add or subtract players up to team check-in. We will update all rosters prior to first game.
